Get measured results with tools that allow event management
to be more manageable. Designworks created an online Evite and RSVP
System for the Global Catalyst Partners annual meeting. The RSVP
system consists of three components including: a Flash evite, an
RSVP form, and a database to track the real-time tally of the participants.
The Flash evite was distributed via a link in an email
announcing the event. In this case, the Flash movie featured scenes
from the Ritz Carlton in Half Moon Bay, where the event was to be
held. At the end of the Flash movie, the viewer is prompted to fill
out an online RSVP form.
The form is completely tailored to the event. It can
include as many fields as are necessary for the event coordinator
to gather critical data. We can even customize it to include a matrix
for booking particular rooms and time slots.
The results of this form are then tallied and sent
to a database where they are made accessible to the event coordinator.
The event coordinator can see a real-time tally of who is attending,
where they are coming from and what their reservation needs may
be. The database can also be exported to Microsoft Excel where the
data can be further manipulated and archived.
